Trip detail: accommodation and travel

Record where you are staying and how you are getting there, alongside the country stays already used to count your days

What trip detail adds

Your residency page already tracks which countries you have been in and for how long. Trip detail sits on top of that: for each stay you can record the city, where you are staying, and the journeys that carry you in and out.

It exists for two reasons. It gives you one place to find a booking reference or an accommodation phone number while you are travelling, and it is the detail a family member sees if you choose to share your whereabouts with them.

Your day counts do not change

Adding accommodation or travel detail never alters how your days are counted. Day counts come from the country stays themselves. Trip detail is descriptive information you add for your own use.

Recording accommodation

Add a place you are staying

  1. Go to Residency Day Tracker (opens in a new tab) in your account
  2. Find the country stay you want to add to and open it
  3. Under Where you stayed, select Add a stay
  4. Enter the city, and optionally the name, address, phone number and booking reference
  5. Set the check-in and check-out dates, then save

You can add several entries to one country stay. If you spend a month in a country across three cities, that is three entries under the same stay, each with its own dates.

Recording travel

A travel segment records one journey between two places: the mode of transport, the carrier and flight or service number, and the departure and arrival times. Open the country stay and select Add a journey under How you travelled.

The modes you can choose from are flight, train, coach or bus, ferry, car, and other, so a journey that is not a flight is recorded the same way.

Because a journey usually spans two country stays, a segment can be linked to the stay you are leaving, the stay you are arriving in, or both. You can record a flight before the arrival stay exists.

Letting confirmation emails fill it in

You can forward travel confirmation emails to your personal inbox address, and we read the booking detail out of them and prepare entries for you, including accommodation and transport where the email contains them.

Two things have to be switched on first, and both are off until you turn them on. The inbox address itself lives on your document vault page, under Inbox, where Let me email things to this vault creates your personal forwarding address, shown there for you to copy. Reading travel plans out of what arrives there is a separate choice, Let me email my travel plans, on your residency page.

Imported entries wait for you to confirm them

Anything found in an email arrives marked Awaiting confirmation, with Confirm and Discard beside it. You decide whether to keep it, edit it, or discard it, and discarding one also stops the same booking coming back if the email is forwarded again. This is the same review step that already applies to country stays found in your travel emails.

How this information is stored

Accommodation names, addresses, phone numbers and booking references are encrypted where they are stored, as are carrier and flight numbers. The city is held in plain form so your stays can be organised and displayed.

None of this is visible to anyone else unless you choose to share your whereabouts, and sharing is off until you set it up. Even then you decide, for each person, whether accommodation and contact numbers are included, and the precision you chose for that person still applies: accommodation appears only from city precision upwards, the street address only at exact precision, and your booking reference is never sent to anyone.

Frequently asked questions

Do I have to add accommodation for every trip?

No. Accommodation and travel detail are entirely optional. Your day counts are worked out from the country stays themselves, so leaving accommodation blank changes nothing about how your days are counted. Add it when it is useful to you, or when you want it visible to someone you share with.

Can I record more than one place per country?

Yes. Each country stay can hold several accommodation entries, because moving between cities within one country is normal. Each entry keeps its own city, dates and contact details, so a month split between three cities reads as three entries under one stay.

Why can I add a flight before the country stay exists?

A journey usually crosses two country stays, and the second one may not be confirmed yet. Travel segments can therefore attach to a departure stay, an arrival stay, or both, and can be recorded while only one end is known.

What happens to this detail if I delete a trip?

Accommodation entries belong to their country stay, so deleting the stay removes them with it. Travel segments are kept if only one end is deleted, since the other end of the journey may still be relevant.
